ASSOCIATION


ARTICLE I: NAME

The name of organization is The Lucknow University Geology Department Alumni
Association (LUGDAA).


ARTICLE II: PURPOSE

LUGDAA has been organized to operate exclusively to keep alive the spirit of affection
and reverence for our alma mater, including, but not limited to, fostering communication
and relationships among alumni, students, faculty and staff; developing volunteer alumni
contributions and financial support; nurturing unique educational experience of the
Geology Department by directing alumni gifts towards Library, Museum, Equipments,
Construction of new buildings and various contingent expenses for educational purposes.

In addition, the mission of LUGDAA is to inspire and reconnect alumni to the Geology
Department and each other through communications for the purpose of generating
multifaceted support for the Geology Department of Lucknow University.

Vision of LUGDAA is to provide a forum that sustains and strengthens the lifelong bond
between alumni and the Geology Department of Lucknow University.


ARTICLE III: MEMBERSHIP

Section 1. Classes of Membership.

The membership of the Association shall consist of two classes namely: “Members” and
“Friends of LUGDAA”.

A. Members. All former students (only PG and Ph.D.), current and retired faculty
members of the Geology department of Lucknow University are eligible for membership
into this Association.

B. Friends of LUGDAA. Non post-graduates of the Geology Department of University of
Lucknow who have demonstrated a strong affinity to the Department or made a significant
contribution to the Department, or rendered meritorious service to the Geology
Department, will be considered as Friends of LUGDAA."


ARTICLE IV: BOARD OF TRUSTEES

Section 1.        General Powers.

The powers of the Organization will be exercised by the Board of Trustees. The Board of
Trustees will control, formulate policy for, and administer the affairs of the Organization.

Section 2.        Composition of the Board of Trustees.

The Board of Trustees is composed of:
President, Vice President, Secretary, and Treasurer.

Section 3.        Eligibility.

The Senior Faculty of Geology will be the ex officio President of LUGDAA. Other Trustees
will be nominated from the faculty who are also former member students of the Geology
department of Lucknow University and other alumni. Secretary and Treasurer will be
nominated from amongst the existing or retired faculty of Geology Department, University
of Lucknow.

Section 4.        Nomination and Terms.

The term of a Trustee is for three years. The term of a Trustee can also expire by her or
his resignation. Trustees are eligible to succeed themselves in the same office.

Section 5.        Resignation        

A member of the Board of Trustees may resign at any time by giving one month’s written
notice to the President.


ARTICLE V: DUTIES OF BOARD OF TRUSTEES

Section 1.        Duties of the President.

It shall be the duty of the President to preside all meetings of the Association’s Board of
Trustees. He, along with the Treasurer, shall sign all checks and vouchers, and shall
perform all such duties as may properly relate to his office. In the absence of the
President, the Vice President shall preside over all such meetings and perform the duties
of the President.

Section 2.        Duties of the Vice President.

The Vice President shall perform other duties as the Board of Trustees may assign and
shall assume the duties of the President when the President is unable to perform his or
her duties or absent from meetings at which the President would otherwise preside.

Section 3.        Duties of the Secretary.

The Secretary shall prepare agendas and keep minutes and records of all meetings of
the Organization. The Secretary will oversee all newsletters pertaining to the Geology
Department to be posted on the website and mailings using email distribution list.

Section 4.        Duties of the Treasurer.

The Treasurer receives and supervises the safekeeping and expenditure of the funds
and investments of the Organization; deposits all money and other valuable effects
received in the name of the Organization in the bank account, opened exclusively for
LUGDAA.


ARTICLE VI: MEETINGS OF THE BOARD OF TRUSTEES

Regular meetings of the Board of Trustees will be held no fewer than two (2) times each
year.


ARTICLE VII: OPERATIONAL PROVISIONS

Section 1.

All checks, drafts, or other orders for the payment of money issues in the name of the
Organization shall be signed by the President and Treasurer.

Section 2.

All funds of the Organization shall be deposited in a timely manner to the credit of the
Lucknow University Geology Department Alumni Association in Indian Overseas
Bank

Section 3.

The Organization will keep correct and complete books and records of account and shall
keep minutes of the proceedings of the Board of Trustees. The account of the
organization shall be audited by an authorized auditor at the end of every financial year.


ARTICLE VIII: LEADERSHIP TEAM

Section 1.        Composition of the Leadership Team.

Leadership Team is composed of at least (11) former member students who are willing to
take on the organizational initiative and sustain it. They have enthusiasm for LUGDAA and
are able to motivate and engage other alumni.

o        Three (3) volunteers in Lucknow, representing LUGDAA in the local area.
o        Three (3) volunteers residing elsewhere in India.
o        Five (5) volunteers residing abroad. At least one in each country.


Section 2.        Role of the Leadership Team

o        Communications: Prepares Newsletter, Invitation letters and performs mailings for
the dissemination of information regarding the current accomplishments, trends and
events of the Geology department.
o        Web site: Create website and keep all information on web pages updated.
o        Special Events: Coordinate organizing Reunions and provide assistance in other
social-cultural or educational activities of the department.
o        Point-of-contact: Keeps global alumni connected to the Geology department of
Lucknow University and to one another. Facilitates contact with other alumni located in the
same country.
